ABOUT THE ROLE As Apex continues to expand its satellite manufacturing footprint, we are seeking a Facilities Operations Specialist to support daily facilities operations across engineering, laboratory, and manufacturing environments. This role ensures workplace coordination, CMMS administration, vendor compliance tracking, and construction documentation are executed accurately and efficiently. This is a highly organized, process-driven individual contributor role that strengthens operational discipline, improves documentation integrity, and enables Facilities leadership to focus on strategy, capital planning, and risk management, while offering exposure to management of small project as a growth pathway. This role supports and progressively assumes management of defined small facilities projects under Director oversight. Key Responsibilities Workplace Coordination (Approximately 40%) - Manage and track employee facilities service requests from intake to closure. - Coordinate seating plans, employee moves, and space readiness activities. - Support onboarding and offboarding logistics in partnership with IT, HR, and Security. - Coordinate access control requests and workplace logistics. - Track service levels and response timelines to ensure consistent execution. CMMS & Systems Administration (Approximately 30%) - Administer the CMMS platform including work orders, preventive maintenance schedules, and asset records. - Track preventive maintenance completion, response times, backlog, and open work orders. - Maintain accurate asset data and documentation integrity. - Generate weekly and monthly operational reports and dashboards. - Maintain vendor compliance documentation including certificates of insurance and permit tracking. - Support audit readiness and documentation control for regulatory, insurance, and internal compliance reviews. - Improve workflow efficiency and data accuracy across digital facilities systems. Construction Administration & Project Support (Approximately 30%) - Assist in preparation and distribution of RFQ packages. - Collect and organize contractor bids and validate scope alignment. - Maintain project documentation including RFIs, submittals, permits, inspection records, and closeout materials. - Record meeting minutes and track action items for facilities and construction meetings. - Coordinate contractor site access, scheduling, and documentation requirements. - Support small project cost tracking and reporting under Facilities leadership direction. - Maintain centralized storage of drawings, warranties, and closeout documentation. - Support and progressively coordinate limited-scope facilities improvements under direction, including vendor scheduling, milestone tracking, and documentation management. Required Qualifications - All applicants must be a U.S. Person due to export control requirements. - Minimum of 6 years’ experience in facilities coordination, workplace operations, project administration, or related operational roles. - Experience working in manufacturing, aerospace, laboratory, or technical environments preferred. - Working knowledg
